How many attendees are you expecting at the 2016 Conference?   Approximately 400.


What are the demographics of MITESOL’s membership?

What are MITESOL members primary occupations?

MITESOL attendees include a wide array of ESL professionals, as well as students in graduate and undergraduate programs related to ELT across the state. Nearly half of our members (46%) work as classroom teachers of ESL students in various contexts. The remaining members comprise ESL program administrators (11%), professors who are researchers & teacher educators (8%), and curriculum/materials writers (6%).  


In what contexts do MITESOL members work?

More than half work in post-secondary contexts—including university/college English programs (31%) and Intensive English institutes (27%). A quarter (26%) work in K-12 schools, and nearly a fifth work in Adult Education contexts, including community-, church-, and government-based ESL programs for immigrants and refugees.


What educational backgrounds do MITESOL members have?

The majority of our members have post-secondary degrees related to ELT: 62% have the terminal degree in the field, the master’s; 25% have a bachelor’s, and 10% have doctoral degrees.

Where will Platinum Sponsors be recognized on MITESOL’s website, and for how long?

In recognition of Platinum sponsors’ generosity, MITESOL will feature the organization’s logo on its Conference website for one year. We will also recognize your sponsorship on a large banner at the Registration/Check-in desk area, in the center of the conference venue.


What size ad can a Gold Sponsor place on the back cover of the Conference Program?

A Gold Sponsorship funds the printing of the Conference Program. In recognition of this, MITESOL will publish a full-color advertisement for the sponsor’s organization on the back cover of the Conference Program.


Will all sponsorships be recognized in the Conference Program?

Yes, all sponsors—at the Platinum, Gold, Silver, & Bronze level—will be recognized in print in the Conference Program, and they will also be thanked publically at our Saturday luncheon.

Will our ad in the program be in color or black-&-white?       Ads will be black-&-white.


What are the specifications for the advertisement?

Exhibitor Set Up & Break Down


At what time does Exhibitor set-up begin on Friday, October 14?      

You may begin setting up in Riverfront Center any time after 9:00 a.m. Exhibitor set up must be completed no later than 2:30 p.m.


At what time can Exhibitors plan to start breaking-down Saturday, October 15?    5:00 p.m.


Do I need to bring my own electrical equipment (such as power cords, etc.)?

Yes. Exhibitors need to bring their own extension cords—and any other equipment that is needed to run their exhibit. This includes power cords, projection adaptors for Apples; etc.


Will the Exhibits Area be locked when it is not open?

Yes. During times when the exhibitors are not present, the Exhibits Area will be locked.

When does the Conference begin & end?  

  • Attendee Check-in & on-site Registration Opens:         3:00 p.m., Friday, 10/14

Exhibitor Registration


What is the deadline for registering to Exhibit at the conferenceFriday, September 16, 2016


I missed the 9/16 Exhibitor Registration deadline. Can I still register?

You may still be able to register, depending on whether we have remaining space in Exhibits. Contact Joanna Schrecengost, Exhibits Manager, at: schrecengost@findlay.edu to inquire.


How do I register to exhibit at the conference?

Use our Online Exhibitor Registration Form, accessible on the Conference website. You will be asked to provide the name, email, and cell # for EACH REPRESENTATIVE your organization is sending to the conference.


If we’re sending more than one Representative, does each Rep. need to register separately?

No. You will register ALL the reps your organization is sending on the same/single invoice.


Do Representatives who will be exhibiting need to register via “Conference Registration”?

No!  Exhibitor Representatives DO NOT need to REGISTER via the Conference Registration site. Exhibitor Reps should register to attend the event on the same form/invoice in which your organization ordered exhibition space for the conference.


Photo Release:  Registration to attend this event constitutes an agreement to MITESOL's use & distribution of the registrants’ images in photographs & electronic reproductions from the event.


How do I know if I have successfully Registered to exhibit, advertise, or sponsor?

A confirmation e-mail containing an Invoice for the options you’ve selected will be sent to you from MITESOL’s website.  If you do not receive an automated email message containing an invoice within an hour of submitting your form online, please contact the Exhibits Manager. 


Who should I contact if I’m having technological difficulties with online exhibitor registration?

Exhibitors & Food


Will food be served on Friday, 10/14?

Yes. We will be serving appetizers from 3:30 to 5:30 p.m., and heavy hors d’oeuvres at our reception, 8:00-10:00 p.m. Exhibits will close at 7:30 p.m. so Exhibitors may attend reception.


Will Exhibitors be served lunch on Saturday, 10/15?

Yes, as long as they’re registered by 9/16. Exhibits will close at lunch so Exhibitors may attend.


How do Exhibitors/Representatives register for lunch on Saturday?

The Online Exhibitor Registration Form will ask you to indicate the lunch preference of EACH Representative your organization is sending to the event. Exhibitors registered by the early deadline (9/16) are guaranteed lunch; we cannot guarantee lunch to anyone registering after 9/16.

Sending Exhibitor Materials to Venue in Advance

(Note: books for display; NOT promotional inserts for folders; see below for promo. inserts)


Can I send materials for my exhibit to the venue in advance of the conference?   Yes. 


When can I send my exhibit materials to the venue?

Please schedule materials to ARRIVE BETWEEN Friday, Oct. 7 & Thursday, Oct. 13.

Sending Promotion Inserts (materials) for Attendees Folders 

(Note: materials for all attendees’ folders; NOT books for Exhibits. See above re: sending Exhibit materials)


If my organization has arranged to have promotional materials inserted in attendees’ folders before the Conference, how many copies should I send?   400 copies.

When should I send our promotional materials to MITESOL

Please send promotional inserts to us AS SOON AS POSSIBLE.

  

Promotional insert materials must reach us by September 30 (latest).


Exhibitor Unloading & Parking (day of event)


What if I am driving exhibits materials with me—where can I park to UNLOAD them?

Exhibitors may park to unload their materials on Riverfront Center Circle Drive, at the front entrance of the center (see Map 1). This area is for unloading & loading, only.  


Note: No unloading is permitted after 2 p.m. on Friday, 10/14. 


Where should Exhibitors PARK during the conference?

Exhibitors should park in the garage attached to Riverfront Center, on Union St (see Map 2).


CONTRIBUTING TO OUR RAFFLE


Can my organization contribute to a raffle?

We would be grateful if your organization would consider contributing materials to our annual prize-give-away. We will be holding it during the penultimate hour of the conference, on Saturday, 10/15, in the Exhibits Area. Each exhibitor who contributes to the raffle will be given their own set of tickets to distribute to attendees who visit their booth. Exhibitors will then hold their own prize drawing during the raffle period, allowing them to better showcase their products.


PAYMENT


What is the payment deadline for Exhibitor & Advertiser Invoices for MITESOL 2016?

Payment is expected upon receipt of invoice. Deadline for Payment: Friday, September 16. Exhibitors who do not pay by September 16 may lose their exhibition space.


How do I pay my Exhibitor/Advertiser Invoice?  Do I need a PayPal account?

MITESOL accepts payment online only, via Paypal. You need not have a Paypal account to use this service; you may use your credit card on their site. 


I am trying to pay my Invoice online, but the Paypal link is not working

If you experience difficulties trying to pay your MITESOL invoice online, contact Paypal at their help number (888-221-1161) or their Help Center: https://www.paypal.com/selfhelp/home.


CHANGES & CANCELLATION


Who do I contact if I need to make changes to my Exhibitor Registration/Invoice?

What is your cancellation policy for Exhibitors?  Cancellation of contracted exhibit space/tables is not eligible for a refund.


OTHER


We cannot attend the conference. Can MITESOL sell books on our behalf?

No.  MITESOL cannot sell merchandise on behalf of other organizations.
